Module 02: The Walmart seller application, line by line

The Walmart seller application requirements are seven: a business tax ID or business license number (SSNs are not accepted), documents that verify your business name and address, a "history of marketplace or eCommerce success", products with GS1 company prefix GTINs, a catalog that complies with Walmart's Prohibited Products Policy, fulfillment through WFS or a US warehouse with returns capability and a compatible payment processor (Walmart Marketplace FAQ).

Then Seller Center checks it. You verify the business and your ID, and you must finish payments setup within 30 days of entering business details or the account is declined. Most stalls come from details that do not match, and every one of them can be fixed before you click submit.

Most new stores take months to find steady sales, and some never do. Inventory, platform fees, freight and ad spend are paid by you.

What are the Walmart seller application requirements?

All seven come from Walmart's own FAQ answer to "What are the minimum qualifications to join Walmart Marketplace?" (Walmart Marketplace). Here they are with what we check before a client applies:

RequirementWalmart's wordingWhat to check
Tax ID"Business Tax ID(s) (SSN not accepted) or Business License Number"Your EIN letter; the legal name on it

What happens in Seller Center, step by step?

From Walmart's onboarding guide (updated Aug 31, 2026):

  1. 01Express setup (optional).

Import business details and listings from another marketplace through Versori. You log in to that marketplace and authorize what is shared. Skip it and you set up items manually.

  2. 02Business verification.

Submit business details, including your registration or license number, and payment information. Walmart may ask for more documents or verify the account holder's photo ID with facial recognition. This takes "a few minutes to a few business days."

  3. 03Payments.

You have 30 days after entering business details to finish payments setup, or the account is declined and you must reapply. Payouts go to Marketplace Wallet or an approved third-party payout provider; ACH direct deposit is not available.

  4. 04Store setup.

Market details, customer service information and fulfillment: WFS or seller-fulfilled, both with a verifiable return address. If you choose WFS, Walmart verifies the billing method in two to three business days.

  5. 05Catalog setup.

Create your catalog once store setup is done. Account setup can take up to four hours to finalize after you add inventory.

After you start selling, a New Seller Payment Hold applies while you build sales history (Walmart Marketplace Learn, Complete onboarding).

How do you get your GS1 barcodes right?

Walmart wants GTINs or UPCs under a GS1 company prefix, which means barcodes licensed from GS1 to your business, not resold codes. Before you apply, log in to your GS1 account and confirm that every product's GTIN is listed under your company prefix and that the brand and description match what you will list.

If a product genuinely has no product ID, such as private label or handmade items, you can request a GTIN exemption. In Seller Center go to Catalog, then GTIN Exemptions, choose categories and product types, select or add the brand and give a reason. You need Admin access, and if Walmart asks for more information you have five days to respond (Walmart Marketplace Learn, Request a GTIN exemption, updated Sep 2, 2026).

Why do Walmart applications stall or get denied?

The same few reasons:

CauseWhat it looks likeFix
Name mismatchLegal name differs across tax record, bank and applicationUse the tax record spelling everywhere
Address mismatchSuite or unit missing; old address on a documentUpdate the document or the entry
BarcodesGTINs that do not trace to your GS1 prefixBuy and assign your own GS1 codes, or request exemptions
No selling recordNew business with no marketplace or store historyBuild a record on another channel first
Payments left late30-day window passes during document back and forthSet up the payout account in week one
CatalogFirst items include restricted products or claimsStart with clearly compliant items

Walmart does not publish an approval rate or a review time. Third-party guides report two to four weeks for review (Threecolts, Jul 2025); that is their estimate, not Walmart's.

Who should own the account, and how do you add people?

You. Apply in your business's name with an owner or legal representative as the account holder. Seller Center has three user roles: Admin, Read Only and, between them, Read and Write. Only Admins can add users. Admins can also generate API credentials, request special approval categories and accept binding legal agreements on the seller's behalf. Users are added on the People and permissions page (Walmart Marketplace Learn, Add a new user, updated Jul 2, 2025).

So keep the Admin role inside the company. Give anyone who helps you a named user with the narrowest role that does the job, and connect software through Apps, then App Listings, where you review and authorize each solution provider (Walmart Marketplace Learn, Connect a solution provider). Never share your password. Our security and access guide explains how we work in client accounts.

When should you apply?

When the pack is complete and your first items pass the per-unit math. A rushed application tends to stall at the document stage. One timing point: New-Seller Savings applies to sellers who go live after Feb 1, 2026. The offer runs to Jan 31, 2027 (Walmart, New-Seller Savings). Going live sooner gives you more months of the referral fee discount, so plan backwards from that date. The full launch order is in Start selling on Walmart, step by step, and our how to sell on Walmart guide covers the decision in depth.

Common mistakes

  • Applying with an SSN.

    Walmart does not accept it.

  • Buying cheap barcodes from resellers.

They will not trace to your GS1 prefix.

  • Letting an agency apply in its own name

    or hold the Admin role.

  • Leaving payments until the end

    and losing the 30-day window.

  • Choosing WFS without a billing method ready,

which adds two to three business days.

Key takeaways

  • A business tax ID or license number, never an SSN.
  • Matching details on every document.
  • GS1 barcodes that trace to you, or GTIN exemptions.
  • 30 days to finish payments setup.
  • Admin stays with the owner.

Do this now

  • Fill the document match table with your EIN letter, registration and bank details.
  • Log in to GS1 and confirm every GTIN is under your company prefix.
  • Export proof of selling history from your current channels.
  • Decide WFS or seller-fulfilled per SKU and confirm a US return address (module 05).
  • Set up your payout account before you start.

Problem and fix

"Our seller application keeps stalling." Cause: mismatched details and payments setup left late. Fix: one matching document set and payments in week one. Service: Account Setup ($299 per marketplace, also included in Walmart Store Launch); you apply in your own name and Walmart decides, so no one can promise approval. Measure: days from submission to approval.

How long does Walmart seller approval take?

Walmart does not publish a review time. Its onboarding guide says business verification takes "a few minutes to a few business days", and more documents may be requested. Third-party guides estimate two to four weeks for the whole review (Threecolts, Jul 2025); that is their figure, not Walmart's.

Can I apply with an SSN?

No. Walmart requires a business tax ID or business license number, and its FAQ says "SSN not accepted" (Walmart Marketplace). An EIN from the IRS is the usual route for a US business.

What if I do not have GS1 barcodes?

Walmart asks for GTINs under a GS1 company prefix. For products with no product ID, such as private label or handmade items, an Admin can request a GTIN exemption under Catalog, then GTIN Exemptions in Seller Center. Respond within five days if Walmart asks for more.

Why does Walmart ask for facial recognition?

Walmart says it may verify the account holder's photo ID with facial recognition during business verification (Walmart Marketplace Learn, Complete onboarding). Have a valid photo ID ready, and make sure the account holder is the person named in your business documents.

What happens if the application is declined?

Read any reason Walmart gives, close the gap and reapply when you can show it. If the gap is selling history, build a record on another channel first. If the 30-day payments window passed, you must reapply from the start.

Can an agency apply for me?

An agency can prepare the pack, but the application should be in your business's name, submitted by you, with Admin kept in your company. Our Account Setup is $299 on those terms. No one can promise approval; Walmart decides.

Do I need a US business to sell on Walmart?

Walmart's onboarding guide covers sellers incorporated in different countries, with payouts depending on the country of incorporation. Requirements and holds vary by country, so check the current terms for yours in Seller Center before you apply.
