DEDICATED OPS TEAM · ROLE

Ecommerce customer service outsourcing with a dedicated support agent

Our version of ecommerce customer service outsourcing gives you a named, full-time support agent who answers only your customers, across Amazon, Walmart and Shopify. They reply to buyer messages, answer where-is-my-order questions, handle returns inside your policy and flag the product and shipping problems behind the tickets. We recruit, supervise, equip and secure them; you pay their salary at cost plus a $399 monthly management fee.

Quick answer

Ecommerce customer service outsourcing means an outside team answers your shoppers on your behalf. With an Ecom Relays dedicated support agent, that is one named person working only on your store, in your helpdesk and marketplace inboxes, to your written policies. You pay their salary at cost plus $399 a month, approve the person and keep every account and conversation.

Why a dedicated agent, not a shared call center

Most outsourced support is shared: an agent answers several brands from one queue and learns none of them well. A dedicated agent learns your products, your return rules and the five questions your customers ask most, and answers them the same way every time.

That matters more on marketplaces than anywhere else. On Amazon and Walmart, slow or careless replies show up in the metrics that decide whether you can keep selling. Walmart's seller performance standards include responding to 95% or more of customer messages within 48 hours (Walmart Marketplace Learn, Jul 28, 2026). Amazon's order defect rate, which Amazon wants under 1% over 60 days, counts orders with negative feedback, an A-to-z Guarantee claim or a service chargeback, and each of those usually starts with a customer who did not get a good answer (Amazon, checked Oct 20, 2026).

What a dedicated support agent does every day

A dedicated agent answers every customer quickly and correctly, then sends the causes of repeat tickets to someone who can fix them. Your role scope sets the final split.

Every business dayEvery weekEvery month
Amazon buyer messages, Walmart customer messages and Shopify emails or chat answeredTicket reasons tallied: where-is-my-order, damaged, wrong item, how-toMacros and saved replies updated from what customers really asked
Order status checked with the carrier or 3PL before replyingRepeat problems reported to you with order examplesReturn and refund reasons summarized by product
Returns and refunds handled inside your written policy; anything above the limit sent to youNegative feedback and product reviews read and flaggedHelp pages and product page answers suggested where tickets repeat
A-to-z claims and chargeback notices drafted for your approvalFirst reply and resolution times reportedMonthly summary with the period and source on every number
Replacement and reship requests raised with your 3PLEscalations reviewed with your named contactPolicy questions collected for your decision

If "where is my order?" is your most common ticket, a good agent answers each one. A good team also fixes the late handoff or missing tracking that caused them. Our WISMO Breaker module and the where-is-my-order tickets page show how.

Tools they work in

  • Amazon Seller Central: Buyer-Seller Messaging, order details, returns and A-to-z claims.
  • Walmart Seller Center: customer messages, orders and returns.
  • Shopify admin, through a collaborator or staff account, for orders, refunds and customer notes.
  • Your helpdesk, if you use one, so every channel lands in one queue.
  • Carrier tracking pages and your 3PL portal for order status and reships.
  • Your written policies: returns, refunds, replacements, discounts and escalation limits.

How a dedicated support agent is measured

KPIs are agreed before the start date and written into the role scope. Where a marketplace publishes a standard, we use it.

KPIWhat it showsTarget
Walmart seller responseCustomer messages answered within 48 hours95% or above (Walmart)
First reply timeTime from message to first human reply, in working hoursAgreed with you
Resolution timeTime from first message to a closed ticketAgreed with you
Reopen rateTickets the customer had to reopenAgreed with you; trend down
Refunds outside policyRefunds issued without approval above your limitZero
Problem reportsWeekly list of repeat issues with examplesEvery week

These measure whether the work is done well. None of them promises fewer complaints or more sales; they show you whether customers are being answered properly.

Coverage hours, weekends and volume

Each dedicated resource works an agreed schedule that overlaps US business hours. One person covers one shift, five days a week. If you need weekend replies or a longer day, write it into the role scope: that usually means a second person or staggered schedules, and the proposal will show the cost of each option.

Volume matters too. If you receive a handful of messages a day, a full-time agent will be underused, and our managed order and customer operations or Amazon customer service services cost less. A dedicated agent makes sense when support is a full working day, every day.

What you provide

  • Named user access to each inbox and your helpdesk, never owner passwords.
  • Written policies for returns, refunds, replacements and discounts, with a dollar limit above which the agent asks you first. If you have none, we draft them with you in the first weeks.
  • A named contact who answers escalations within a working day.
  • Payment for helpdesk seats and any other third-party tools, directly to the vendor.

Supervision, cover and replacement

A lead on our side reviews a sample of your agent's replies every day for accuracy and tone, checks the queue is clear and steps in on difficult cases. KPIs are reviewed with you on a fixed cadence agreed at kickoff.

If your agent leaves or is not the right fit, we recruit a replacement, you approve them and we handle onboarding and access at no extra fee. Access for the person leaving is removed within 24 hours.

What a dedicated support agent costs

You pay their monthly salary, passed through at cost and shown on every invoice, plus a $399 monthly management fee. Billing is monthly in advance, with a 3-month first term, then month to month on 30 days' notice.

For a US reference point, customer service representatives (SOC 43-4051) earned a national median of $21.53 an hour, or $44,770 a year, in May 2025 (BLS Occupational Employment and Wage Statistics, released May 15, 2026). A US employee also costs payroll taxes, benefits, equipment and space.

How the comparison works: divide a US salary by 0.70 to get its fully loaded cost, because benefits are about 30% of total compensation (BLS Employer Costs for Employee Compensation, June 2026), then compare it with the dedicated salary plus twelve months of management fees. On that basis, a dedicated resource can cost up to 70% less than the fully loaded cost of a comparable US hire.

We use the same sample figures on every page so they can be checked; real salaries depend on the role and experience, and some roles show a smaller gap. Your proposal shows the real salary for each person, and the full method is on our dedicated ecommerce team cost page.

Security and access

Your agent works on a company-managed device in our production rooms, with named logins and multi-factor authentication on every account. They never use owner passwords or shared logins, and they have no bank, payout or legal-entity permissions. Customer data stays in your systems. Access is removed within 24 hours of any change. An NDA and a Data Processing Addendum are ready to sign. Read our security and access practices.

Ecomrelays LLC is a Texas company. Part of our team works outside the US, as one managed team with a named US-facing lead.

Questions

Questions owners ask about ecommerce customer service outsourcing

How much does ecommerce customer service outsourcing cost with a dedicated agent?

The agent's monthly salary, passed through at cost and shown on every invoice, plus a $399 monthly management fee. Your proposal shows the salary before you agree. Helpdesk seats are paid by you directly. Terms: a 3-month first term, then month to month with 30 days' notice.

Will the agent answer only my customers?

Yes. A dedicated agent works full time on your store and is not shared with other brands. They learn your products and policies and answer in your brand's voice, using the saved replies you approve.

Can they handle Amazon, Walmart and Shopify together?

Yes. One agent can work all three inboxes, ideally through one helpdesk queue. Each marketplace has its own rules, such as Walmart's standard of answering 95% of messages within 48 hours, and the agent works to each one.

Do they issue refunds on their own?

Only inside the written policy and dollar limit you set. Anything above the limit, or outside policy, goes to your named contact for approval first. A-to-z claims and chargeback responses are drafted for your approval before they are sent.

Can you cover weekends?

One person covers one shift, five days a week. Weekend or extended cover needs a second person or staggered schedules, written into the role scope with its cost shown in the proposal.

Where is the agent based?

Ecomrelays LLC is a Texas company. Part of our team works outside the US, as one managed team with a named US-facing lead. Your agent works a schedule that overlaps US business hours, on a company-managed device in our production rooms.

What if the agent is not working out?

Tell us. We review the replies and KPIs with you, and if they are not the right fit, we replace them at no extra fee. You approve the replacement.

Is a dedicated agent better than a managed support service?

It depends on volume. If support fills a full working day, a dedicated agent who learns your store is usually the better fit. If it takes a few hours a day, our managed order and customer operations service costs less.
