Ecommerce cash flow dashboard: margin, payouts and cash in stock, every morning

Profit and Cash Pulse puts four numbers on one page every business morning: what each SKU earned after every fee, which payouts are held and when they land, how much cash sits in stock and your lowest cash week ahead.

An ecommerce cash flow dashboard shows where your money is today and where it will be over the next quarter. Profit and Cash Pulse (RELAY-01) builds one in your own accounts for Amazon, Walmart and Shopify: margin by SKU and channel after every fee, payouts held and when they land, cash tied up in stock and a 13-week cash view. It is an advanced Relay Module, $1,500 to $3,500 fixed in writing before we build, and it is included in every Ops Desk plan.

Why sales, payouts and profit never agree

They measure different moments. A sale shows the day it is ordered, the cash lands days or weeks later and the fees, ad spend, 3PL bill and freight for that unit each hit on their own schedule.

It usually sounds like this: "Our numbers live in spreadsheets nobody trusts." One person pulls the settlement report on Tuesday, another pulls Shopify on Thursday. By the time the month is closed, the decision it was meant to inform has been made.

Pulse gives you a daily operating view built from the same source reports your bookkeeper uses, with the period and the report printed under every number.

What the ecommerce cash flow dashboard shows every morning

Four panels, refreshed every business morning, each with its period and source under the number.

  • Margin.

Contribution margin by SKU and channel for yesterday, the last 7 days and month to date, after every fee, ad dollar and landed cost. The per-unit formula is on our profit and cash reporting page.

  • Payouts.

What is held, what is scheduled and the expected landing date, per channel.

  • Cash in stock.

Units on hand and inbound at Amazon FBA, Walmart WFS and your 3PL, valued at landed cost.

  • 13-week cash view.

Opening cash, expected inflows and outflows by week, with the lowest week named in words, not shown by color alone.

The payout calendar Pulse tracks

Every channel pays on its own clock, and Pulse follows each sale from order to deposit, so a slow week shows up as timing rather than as a loss you did not have. Here is what each channel publishes, checked Oct 20, 2026.

ChannelWhen the money arrivesSource

An Amazon order delivered on a Thursday does not release its proceeds until the following Thursday at the earliest. Pulse shows that gap between "sold" and "banked" per channel, by expected landing date.

What it connects to on Amazon, Walmart, Shopify and your 3PL

Pulse only reads. It connects through each platform's official interfaces or scheduled exports, under named-user access.

We never connect to your bank. You or your bookkeeper enter the opening cash balance each Monday, and Pulse rolls the 13 weeks forward from there. The dashboard lives in a tool you own and subscribe to directly; we do not resell software.

What is automated and what a person does

Automated:

the daily data pulls, the fee and margin math and matching each payout to its orders. Flags fire for three things: a payout later than its expected date, a SKU under its margin floor (when Margin Guard is installed) and any week that drops below the cash line you set.

A person:

on an Ops Desk plan, your named ops lead reads the flags each morning, checks anything odd before it reaches you and writes a short weekly note in plain words. On a module-only build, your team does this, using the written playbook we hand over.

You decide

spending, purchase orders and ad budgets. Pulse informs those decisions. It never makes them.

What-if rows

let you test a decision first: move a purchase order a week, change ad spend or delay a payout, and see your new lowest week. They never change real data.

How the build runs and how you accept it

Every Relay Module starts with a written spec you approve. For Pulse it runs in four steps over 1 to 4 weeks.

  1. 01Spec (week 1).

Metric definitions, data sources, refresh time, your cash line and the acceptance tests. You approve it before we build.

  2. 02Connect (weeks 1 to 2).

Access, the data model and the SKU cost table.

  3. 03Build (weeks 2 to 3).

The four panels, the 13-week view, the flags and drill-down from any number to its source line.

  4. 04Acceptance (weeks 3 to 4).

We run the tests with you. The second half of the fee is due only when the module passes.

The acceptance tests in a typical Pulse spec:

  • Every active SKU shows a margin figure, or a named reason it cannot.
  • Each channel's payout total for a closed period matches its settlement or payout report.
  • Cash in stock reconciles to each location's inventory report on a test day.
  • The 13-week view rolls forward every Monday.
  • The refresh finishes by the time set in the spec on business days.
  • Every number carries a source and a period.
  • Documentation is stored in your workspace.

Price, timing and what you own

Profit and Cash Pulse is an advanced module: $1,500 to $3,500, with the exact price fixed in writing before the build. It takes 1 to 4 weeks from working access and an approved spec. You pay 50% at the start and 50% at acceptance, and anything that fails acceptance is fixed free for 60 days.

Pulse is included in every Ops Desk plan: Launch at $1,499 a month, Growth at $2,499 a month and Scale from $4,499 a month. Upkeep (Module Care) is included on any monthly plan; otherwise it is 10% of the build cost a year. Our module fees are fixed and published, never a percentage of your sales or ad spend. Full terms are on pricing.

Founding offer: 20% off the module build, plus 20% off monthly plans for the first 6 months, for our first 25 clients or until Jan 31, 2027, whichever comes first.

The dashboard, data model, formulas and documentation live in your accounts. They stay if you leave; the handover pack lists every connection. Named user access with multi-factor authentication. Never your owner password. No bank, payout or legal-entity permissions. More on how access works.

Who it is for, and who it is not for

Pulse is for brands at $1M a year and up that sell on more than one channel or hold stock in more than one place, where payout clocks, the 3PL bill and inbound containers start to collide.

It is not bookkeeping, tax or audit work. It gives you and your bookkeeper the same clean data, and your bookkeeper still keeps the books. If one app already shows margin and cash across every channel you sell on, keep it. We build when it does not.

If margin worries you more than cash, read revenue up, margin down. Stock Flow adds the cash week of every purchase order to this view, and all ten modules are on the Relay Modules hub.

Questions

Questions owners ask

Talk to an ops lead (free)
How much does Profit and Cash Pulse cost?

It costs $1,500 to $3,500 to build, with the exact price fixed in writing before we start. The range depends on how many channels, warehouses and cost sources it connects. It is included in every Ops Desk plan, from $1,499 a month.

How long does it take to build?

One to four weeks from working access and an approved spec. A single channel with a clean cost file sits at the short end; three channels, AWD and a 3PL that only sends spreadsheets sit at the long end. The spec states the timeline before you pay anything.

Do you need access to our bank account?

No. You or your bookkeeper enter the opening cash balance each Monday and Pulse rolls the 13 weeks forward from there. We never take bank, payout or legal-entity permissions on any channel, and every login is a named user with multi-factor authentication.

Does it replace our bookkeeper or accounting software?

No. Pulse is a daily operating view, not a set of books. Your bookkeeper keeps the ledger, closes the month and handles taxes. Pulse reads an export of the bills you choose, so you and your bookkeeper work from the same numbers.

Which channels and warehouses does it cover?

Amazon, Walmart and Shopify, plus FBA, AWD if you use it, WFS and your 3PL, in one view. Ad spend is mapped to SKUs so margin reflects what each unit cost to sell. Other systems are scoped in the spec.

What happens after acceptance?

Anything that fails an acceptance test is fixed free for 60 days. After that, upkeep is Module Care: included on any monthly plan, or 10% of the build cost a year. Changes beyond upkeep, such as adding a channel, are quoted in writing first.
