DEDICATED OPS TEAM · ROLE
Ecommerce inventory management outsourcing with a dedicated PO coordinator
With our ecommerce inventory management outsourcing, a named inventory and purchase order coordinator works full time on your stock and nobody else's. They track stock across FBA, Walmart Fulfillment Services, your 3PL and Shopify, set reorder points, draft purchase orders for your approval, chase suppliers and follow every inbound shipment until it is checked in. We recruit, supervise, equip and secure them; you pay their salary at cost plus a $399 monthly management fee.
Salary at cost + $399 a month · You approve every purchase order · Replacement at no extra fee

Quick answer
Ecommerce inventory management outsourcing means someone outside your company plans and tracks your stock. A dedicated inventory and PO coordinator from Ecom Relays does this full time for one brand: stock positions across every channel, reorder points, purchase order drafts and inbound tracking. You approve and pay every purchase order. You pay their salary at cost plus $399 a month and keep every file.
Why inventory needs one owner
Stockouts and overstock usually come from the same gap: nobody owns the numbers every day. A top seller runs out because the reorder went out a week late. Slow stock sits in paid storage because nobody checked sell-through before the next order. Cash disappears into inventory that was ordered on a feeling.
A coordinator closes that gap. Their whole job is to know, every morning, how many days of stock each SKU has in each location, what is on the water and when the next purchase order has to go out. Our stockouts on best sellers page shows how the problem usually starts.
What a dedicated inventory and PO coordinator does every day
The coordinator keeps a daily stock position, a weekly reorder plan and a monthly review of suppliers and costs. Your role scope can move items between the columns.
| Every business day | Every week | Every month |
|---|---|---|
| Stock positions updated for FBA, WFS, your 3PL and Shopify | Reorder plan updated from sales velocity and lead times | Supplier lead times and price breaks reviewed |
| SKUs approaching their reorder point flagged to you | Purchase order drafts sent for your approval | Aged and slow stock reviewed against storage costs |
| Supplier production and shipping dates chased | Inbound shipments created in Send to Amazon, WFS or your 3PL | 3PL invoice and stock count checked against your records |
| Inbound shipments tracked to check-in; receiving discrepancies logged | Forecast checked against actual sales | Lost and damaged inventory claims prepared for filing |
| Amazon restock limits and capacity checked | Weekly stock report to you on a fixed day | Landed cost per SKU updated with real freight and duty |
The rules shape the timing. Amazon's low-inventory-level fee applies only when both the 30-day and 90-day historical days of supply fall below 28 days, so the plan watches both (verified platform fact, 2026; see our low-inventory fee guide). Amazon stopped offering prep and item labeling services for US FBA shipments on Jan 1, 2026, so every purchase order states the prep and labeling the supplier or prep center must do (Supply Chain Dive, Aug 1, 2025). And for ocean freight, the Importer Security Filing must reach US Customs no later than 24 hours before the cargo is loaded at the foreign port (19 CFR 149.2), so your forwarder needs supplier details early.
How a reorder point is set
A reorder point is the stock level at which the next purchase order must go out, so new stock arrives before the old runs out. Your coordinator sets one for every active SKU and updates it as sales and lead times change.
Illustrative · sample figures
| Input | Value |
|---|---|
| Average daily sales, all channels | 40 units |
| Lead time: production, freight, customs and check-in | 60 days |
| Safety stock for delays and sales spikes | 14 days |
| Reorder point: 40 x (60 + 14) | 2,960 units |
When stock across all locations, plus anything already on order, falls to 2,960 units, a purchase order draft goes to you. Try your own numbers in our reorder point calculator. Our inventory and 3PL service explains the method in more depth.
Tools they work in
- Amazon Seller Central: the Restock Inventory report, Manage All Inventory, Send to Amazon, inventory reports and reimbursement reports.
- Walmart Seller Center: WFS inventory and inbound orders. See our WFS management page.
- Shopify admin: inventory by location and transfers.
- Your 3PL portal: stock on hand, advance ship notices, receiving reports and invoices.
- Your inventory tool or spreadsheet, and your accounting system for purchase orders, through named access.
- Email and messaging with suppliers and freight forwarders, from an address on your domain if you prefer.
How a dedicated inventory coordinator is measured
KPIs are agreed before the start date and written into the role scope. These are typical.
| KPI | What it shows | Target |
|---|---|---|
| Stockout days on top SKUs | Days your best sellers could not be ordered | Agreed with you; trend to zero |
| Weeks of cover | Stock on hand and inbound against sales, by SKU | Inside the range you set |
| Purchase orders on time | Drafts sent to you on or before the reorder date | Every time |
| Inbound discrepancies | Units missing or damaged at check-in, opened as cases | All opened within the window |
| Forecast accuracy | Forecast against actual sales, top SKUs | Tracked weekly |
| Stock report | Delivered on the agreed day | Every week |
These measure whether stock is planned and tracked well. They do not promise sales; demand still decides how fast stock moves.
What you provide
- Named access to Seller Central, Seller Center, Shopify, your 3PL portal and inventory tools, never owner passwords.
- Supplier contacts, current price lists, MOQs and lead times.
- A named contact who approves purchase orders, quantities and any change of supplier, and who pays suppliers directly.
- Payment for inventory software or other tools, directly to the vendor.
Your coordinator never places or pays for an order on their own. Every purchase order is approved and paid by you.
Supervision, cover and replacement
A lead on our side checks your coordinator's numbers every day and reviews the reorder plan before it reaches you. KPIs are reviewed with you on a fixed cadence agreed at kickoff. If your coordinator leaves or is not the right fit, we recruit a replacement, you approve them and we handle onboarding and access at no extra fee. The departing person's access is removed within 24 hours.
What a dedicated inventory and PO coordinator costs
You pay their monthly salary, passed through at cost and shown on every invoice, plus a $399 monthly management fee. Billing is monthly in advance, with a 3-month first term, then month to month on 30 days' notice.
For a US reference point, the nearest BLS occupation is production, planning and expediting clerks (SOC 43-5061), with a national median of $28.68 an hour, or $59,650 a year, in May 2025 (BLS Occupational Employment and Wage Statistics, released May 15, 2026). A US employee also costs payroll taxes, benefits, equipment and space.
How the comparison works: divide a US salary by 0.70 to get its fully loaded cost, because benefits are about 30% of total compensation (BLS Employer Costs for Employee Compensation, June 2026), then compare it with the dedicated salary plus twelve months of management fees. On that basis, a dedicated resource can cost up to 70% less than the fully loaded cost of a comparable US hire.
Illustrative · sample figures
| Comparable US hire | Dedicated resource | |
|---|---|---|
| Salary | $50,000 a year | $16,800 a year |
| Benefits and payroll taxes (the 30% share: salary ÷ 0.70, less salary) | About $21,400 | Covered by the salary and the management fee |
| Management fee | None | $4,788 a year ($399 x 12) |
| Total | About $71,400 a year | About $21,600 a year |
| Difference | About 70% lower |
We use the same sample figures on every page so they can be checked; real salaries depend on the role and experience, and some roles show a smaller gap. Your proposal shows the real salary for each person, and the full method is on our dedicated ecommerce team cost page.
When a dedicated coordinator fits, and when something else does
A dedicated coordinator fits brands with many SKUs, several stock locations or frequent purchase orders, where planning and chasing fill a working week.
Something else fits better if:
- You want one stock count and reorder rules built as a system rather than a person. Stock Flow is a fixed-price module.
- You mainly need your 3PL's bills and counts checked. 3PL Audit covers that.
- You mainly need lost and damaged units claimed. Our FBA reimbursements service is included in every monthly plan with no commission.
Security and access
Your coordinator works on a company-managed device in our production rooms, with named logins and multi-factor authentication on every account, never owner passwords or shared logins and never bank, payout or legal-entity permissions. They cannot pay suppliers. Access is removed within 24 hours of any change. Read our security and access practices.
Ecomrelays LLC is a Texas company. Part of our team works outside the US, as one managed team with a named US-facing lead. Each resource works an agreed schedule that overlaps US business hours.
Questions
Questions owners ask about ecommerce inventory management outsourcing
How much does ecommerce inventory management outsourcing cost with a dedicated coordinator?
The coordinator's monthly salary, passed through at cost and shown on every invoice, plus a $399 monthly management fee. Your proposal shows the salary before you agree. Inventory software is paid by you. Terms: a 3-month first term, then month to month with 30 days' notice.
Will the coordinator place orders with my suppliers?
They draft every purchase order and send it to you. You approve the quantities and the supplier, and you pay the supplier directly. Once approved, the coordinator sends the order, chases dates and tracks the shipment.
Can they manage stock across FBA, WFS, Shopify and a 3PL?
Yes. Keeping one view of stock across every location is the core of the job. They update positions daily and plan reorders from total stock, including what is already on order or in transit.
How do they set reorder points?
From average daily sales, the full lead time from order to check-in and a safety stock for delays. The reorder point is daily sales multiplied by lead time plus safety days. They update it as sales or lead times change.
Do they handle Amazon reimbursements for lost inbound units?
They track discrepancies at check-in and prepare claims for lost or damaged units. Amazon reimburses lost or damaged inventory at manufacturing cost from Mar 31, 2025. Fulfillment center claims are due within 60 days of the item being reported lost or damaged.
Is this the same as your inventory and 3PL service?
No. That service is a managed process run by our team for a fixed fee. A dedicated coordinator is a full-time person who works only on your stock, takes priorities from you and is supervised by us.
Do I choose the person?
Yes. We recruit and screen candidates, and you meet and approve the person before they start. If they are not the right fit, we replace them at no extra fee.
What happens to my data if I stop?
Your stock files, purchase orders and supplier records stay in your systems. With 30 days' notice after the first term, you get a written handover and our access is removed within 24 hours.
