What are 3PL accessorial charges?
3PL accessorial charges are fees a third-party logistics provider or carrier adds on top of its base rates for extra work or special conditions: fuel, residential delivery, address corrections, special handling, relabeling, rush orders and the like. They are legitimate when your contract lists them with a price and a trigger. They are where 3PL invoices drift, because they are small, frequent and rarely checked.
Common 3PL and carrier accessorials, and what the contract should say
A contract should name each charge, its price and exactly what triggers it. Anything billed that is not in the contract is a dispute, not a cost.
| Accessorial | What triggers it | What the contract should say |
|---|---|---|
| Fuel or transportation surcharge | Carrier passes on fuel or transport costs | The carrier's published surcharge, passed through at cost, no markup |
| Residential delivery | Parcel to a home address | Pass-through at the carrier's rate, or included in the pick and pack price |
| Address correction | Carrier fixes a bad address | Pass-through, with the order number on the invoice |
| Dimensional weight adjustment | Carrier re-measures a parcel | Box rules in writing; adjustment shown per parcel |
| Oversize or additional handling | Parcel over carrier limits | Which boxes and SKUs trigger it |
| Receiving overage | Carton not labeled, mixed SKUs, no packing list | Per carton or per hour, with photos as evidence |
| Relabeling or prep | Units arrive without the labels the channel needs | Price per unit, and that you approve before work starts |
| Kitting or special projects | Bundling, inserts, gift wrap | Quote first, in writing |
| Returns processing | Each return received and inspected | Per unit, with condition notes |
| Long-term or overflow storage | Stock past an age or volume threshold | The threshold and the rate |
| Minimum monthly fee | Low-volume months | The minimum and whether it is credited against fees |
| Account or technology fee | Software or account management | A fixed monthly amount, or none |
The 2026 carrier changes that show up as accessorials
Two USPS changes moved shipping lines on many 3PL invoices this year.
| Change | Dates | Source |
|---|---|---|
| Temporary 8% increase to base postage on Priority Mail Express, Priority Mail, USPS Ground Advantage and Parcel Select | Apr 26, 2026 to Jan 17, 2027 | USPS announcement, Mar 25, 2026; in effect per ShippingEasy, updated Oct 4, 2026 |
| Dimensional weight divisor from 166 to 139 on parcels over 1,728 cubic inches | From Jul 12, 2026 | USPS final rule, July 2026 |
Both are real carrier costs, and a 3PL may pass them on. Check that it passes on the actual change and nothing more, and that it is not also charging its own fuel surcharge on the same parcels. The dimensional weight entry shows how box size changes the bill.
Worked example: auditing one month of 3PL accessorial charges
Illustrative · sample figures. A brand ships 4,000 orders a month through a 3PL. The audit compares each accessorial line with the contract and the brand's own order data.
| Invoice line | Billed | Contract says | Finding | Dispute |
|---|---|---|---|---|
| Address corrections | 60 × $15 = $900 | Pass-through at carrier cost | Carrier charged $9 each | $360 |
| Residential delivery | 4,000 × $0.50 = $2,000 | Included in pick and pack | Not billable | $2,000 |
| Relabeling | 1,200 units × $0.40 = $480 | $0.25 a unit, approved first | No approval, wrong rate | $480 |
| USPS temporary increase | 8% of $20,000 postage = $1,600 | Carrier changes at cost | Matches the USPS change | $0 |
| Total | $4,980 | $2,840 |
Most of the gap came from one line the contract already covered. That is the usual pattern: a billing rule set up wrongly in the 3PL's system repeats every month until someone checks.
How accessorials work on Amazon, Walmart and Shopify
Amazon.
FBA does not invoice accessorials the way a 3PL does, but it has its own extra charges for shipment problems, such as inbound defect fees for missing box content information or labeling errors. They appear in your fee reports, not on an invoice, so review them monthly.
Walmart.
WFS charges prep fees when units arrive unprepared: labeling is $0.45 a unit when planned and $0.65 when unplanned, and poly bagging $0.60 or $0.80 (Walmart WFS prep services, updated Oct 8, 2026). Unplanned prep is an accessorial you can avoid entirely by sending units ready.
Shopify.
If you buy labels through Shopify Shipping, carriers re-check parcels after you ship, and a weight or dimension mismatch comes back as an adjustment on your next Shopify bill (Shopify Help Center). Those adjustments are carrier accessorials by another name.
Common mistakes
-
Signing a rate card without an accessorial list.
If it is not listed, the 3PL can add it later.
-
Checking totals, not lines.
A steady monthly total can hide a new charge and a lower one canceling out.
-
Missing the dispute window.
Most contracts give a set number of days to dispute an invoice.
-
No evidence.
Disputes need order numbers, photos or receiving records.
-
Paying markup on pass-through charges.
Ask for carrier invoices behind any pass-through line.
What does accessorial mean on a 3PL invoice?
An accessorial is any charge on top of the base rates for storage, receiving and pick and pack, for extra work or a special condition such as fuel, residential delivery, an address correction or relabeling. It is fair when your contract lists it with a price and a trigger; otherwise it should be disputed.
Which accessorials are most often billed in error?
The usual ones are charges for work the contract already includes, pass-through charges with a markup, receiving overages without evidence and relabeling no one approved. Check each against the contract wording and your own records.
Is the USPS 8% increase still in effect?
Yes, from Apr 26, 2026 to Jan 17, 2027, on Priority Mail Express, Priority Mail, USPS Ground Advantage and Parcel Select, according to USPS and shipping software providers. Check that your 3PL applied it only to those services and only at 8%.
How often should I audit accessorials?
Every month, inside your contract's dispute window. Compare each line with the rate card and your order, receiving and returns data. The 3PL invoice audit guide gives the full checklist.
Can I negotiate accessorials?
Yes, best before you sign or at renewal. Ask for a written list, pass-through at cost for carrier charges, approval before any prep or project work and a cap on minimum monthly fees.
Can you audit our 3PL invoices?
Yes. 3PL Audit checks every billed line against your contract each month, and our inventory and 3PL management raises and follows up disputes. See pricing.
