- Who is responsible
Ecomrelays LLC, a Texas limited liability company trading as Ecom Relays, is responsible for personal information collected through this website. Our address is 597 Mountcastle Dr, Rockwall, TX 75087. You can reach us at contact@ecomrelays.com or +1 (469) 331-3129.
When we work inside a client's store, the client decides how its customers' data is used and we handle it on the client's behalf. Section 4 explains that role.
- What we collect
We collect only what we need to reply to you and to do the work you ask for.
- What you type into our forms.
Name, email address, store URL, the channels you sell on, a revenue band, your question and any message. Our forms do not ask for a phone number or payment details.
- What you send us by email or phone,
including attachments such as product details or proposals.
- Booking details
when you schedule a session: the time you choose and the details you enter in the calendar tool.
- Data we read with your permission.
For a Profit Leak Scan or a paid engagement, we read data in your seller, store, 3PL and helpdesk accounts through named access you grant. That data can include your customers' names, addresses and order details.
- Website usage.
Basic technical data such as pages viewed, approximate location from your IP address, device and browser type, collected through cookies and similar tools. Non-essential cookies load only after you accept them. See our cookie notice.
We do not knowingly collect sensitive information, such as government ID numbers, health information or bank credentials, through this website, and we ask you not to send it.
- Why we use it
- To reply to your inquiry and arrange a session you asked for.
- To run a Profit Leak Scan or prepare a Launch Readiness Check you requested.
- To deliver services you hired us for, under a signed agreement.
- To send emails you asked for, and occasional service updates to clients.
- To keep this website working, secure and easy to use, and to understand which pages help people.
- To meet legal, tax and accounting duties.
We do not use your information to make automated decisions that have legal or similar effects on you.
- Client and scan data
When we read data in your accounts, we act as your service provider. We use it only to deliver the work, under our Data Processing Addendum.
- We never sell or share it, combine it with other clients' data, use it to market to your customers or use it to train any AI model.
- Access is through named users with multi-factor authentication, never your owner password, on company-managed devices in isolated environments.
- After a scan: our access is removed on the day we send the report. If you do not hire us, we delete the exports within 30 days and confirm it in writing.
- After paid work ends: access is removed within 24 hours, and data is returned or deleted within 30 days, at your choice.
- During paid work: order reports with buyer details are deleted no later than 30 days after the orders are delivered, unless you instruct otherwise.
Our security practices are on our security and access page.
- Where it is processed
Personal information is stored in your own accounts and in systems hosted in the United States wherever possible. Part of our team works outside the US, as one managed team with a named US-facing lead. Those team members may access personal information remotely to do the work, always under written confidentiality and data protection agreements, through isolated environments on company-managed devices and without storing it locally beyond the minimum needed.
- How long we keep it
- Inquiries and session bookings:
as long as we need them to reply, follow up as described on the page you used and keep a record of our conversation, then deleted.
- Scan exports:
deleted within 30 days of the report if you do not hire us.
- Client data:
for the term of the engagement, then returned or deleted within 30 days.
- Contracts, invoices and tax records:
as long as the law requires.
- Email
If you contact us or ask for a free offer, we email you about that request. Clients receive service emails about their work. We send marketing email only where the law allows, every marketing email includes our postal address (Ecomrelays LLC, 597 Mountcastle Dr, Rockwall, TX 75087) and a working way to opt out, and we honor opt-outs within 10 business days.
We do not send text messages from this website.
- Your rights and how to ask
Depending on where you live, US state privacy laws may give you the right to know what personal information we hold about you, to get a copy, to correct it, to delete it and to opt out of certain uses. We will answer these requests from anyone who asks, whether or not a state law requires it, unless the law requires us to keep the information.
To make a request, email contact@ecomrelays.com with the subject "Privacy request", or write to us at the address above. We will confirm we received it, may need to verify your identity before acting, and will respond within the time the law allows. You may use an authorized agent. We will not treat you differently for asking.
If your request is about data in a client's store, such as an order you placed with one of our clients, we will pass it to that client within 3 business days, because they decide how their customers' data is used, and we will help them answer it.
- Security
We protect personal information with named access, multi-factor authentication, company-managed devices with disk encryption, isolated client environments, a company-approved password manager and least-privilege permissions. If an incident affects a client's data, we notify the client within 24 hours of becoming aware of it. No system is perfectly secure, so please tell us at once if you think something is wrong. More on our security and access page.
- Children
This website and our services are for businesses. They are not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has sent us personal information, contact us and we will delete it.
- Changes to this privacy policy
We may update this policy. Each version is dated, and earlier versions are listed below with what changed. If a change materially affects how we use information we already hold, we will tell clients directly.
